EFFECTIVE MANAGEMENT SYSTEMS

Management documentation must be understood by all those who have to use it. This might appear obvious but it is a common failing of many management systems.

People learn in different ways and when a new management system is introduced those learning differences must be acknowledged and procedures and instructions created that ensure everyone understands the requirements.

Operational instruction and training must be designed to meet the needs of everyone who requires the knowledge. There are considered to be three different learning types:

In other words, those who learn best by listening, those who learn best by seeing and those who learn best by doing.


Keep it Simple

Whatever management system you wish to implement it must be kept simple yet it must also meet the above requirements with regard to learning.
A well designed management system will involve more than just written documentation.
Visual aids will be included.
Practical examples will help those who need to experience to learn.
Guidance will be given to managers and supervisors on what they are expected to tell their staff.
Training programs will be devised that ensure that all staff understand their place and duties in the management system.


Don’t Reinvent the Wheel

It is essential that meaningful feedback is created to check that the system is working and that proper records are kept, however this is not an excuse to create hundreds of forms. Every form created has to be filled in and that takes time. Time spent filling in forms means less time on productive work.
